Get the Most Out of Your Midcycle Check-in and Explore Professional Development Opportunities

The Midcycle Check-in is coming on October 1, offering a great opportunity for classified staff and Administrative/Professional (A/P) faculty to reflect on progress, celebrate successes, and plan for continued growth. This is a time for employees to have a constructive conversation with their manager about work accomplishments and align goals for the remainder of the performance evaluation year (April 1 – March 31).

The Midcycle Check-in is more than just a checkpoint; it’s a chance to take an active role in your professional journey. To prepare for a productive discussion, consider the following:

  • Review Your Goals: Look back at the goals you set at the beginning of the performance evaluation year. What progress have you made? Where have you exceeded expectations?
  • Highlight Your Accomplishments: Think about specific projects, contributions, and achievements. Be ready to share examples of how your work has had an impact.
  • Identify Growth Areas: Consider what skills you want to strengthen or what new responsibilities you’d like to take on. This is a great time to discuss these with your manager.
  • Prepare Your Questions: Meet with your manager, ask questions about your performance and career path, or how you can better support the team or institutional objectives.

Patriot Web Upgrade Coming This Fall

Patriot Web, George Mason University’s self-service site for managing personal, administrative, and academic information, is being upgraded this fall to a new, modern interface with improved navigation. A soft launch of the new environment will be made available for use on Monday, September 1. Users can access the update via the Patriot Web login page. Any actions taken in the new environment will be reflected in the current version of Patriot Web, which will be disabled on Tuesday, September 30. Fall Parking Permit Sales

Fall Parking Permit Sales
Fall semester parking permits are available for purchase online at on the Parking and Transportation website. Permit options include semester, daily, weekly, and monthly. Parking permit fees are listed on the Parking and Transportation website. Note: Faculty and staff enrolled in the payroll deduction parking permit program do not need to take any action. Contact [email protected] with questions.

Service/Administrative Permits
A new virtual supplemental permit for departments with service & repair/administrative permits is being launched this month. Department liaisons will be emailed with instructions on how to sign up.

New Parking Access and Visitor Payment System at Mason Square
On or around September 8, a new parking access and visitor payment system is being installed in all the garages at Mason Square. Permit holders for Vernon Smith and Van Metre garages will be emailed at the beginning of September on how to sign up.

George Mason Shuttles
Fall shuttle schedules will be posted online on the Parking and Transportation website. Except for the Gunston Go Bus, which begins fall service on August 18, all other routes will begin fall service on August 25.

Dining Program Update: Chartwells Named New Partner

George Mason University has selected Chartwells Higher Education as its new dining provider, beginning July 1, 2025. The transition brings a renewed focus on inclusive dining, innovation, and sustainability. National favorites like Starbucks and Chick-fil-A are staying, and all dining halls will remain peanut and tree nut free. Chartwells will also support food insecurity initiatives through financial contributions and free meal swipe donations.

Fall 2025 Parking Permit Sales

Starting July 28, 2025, fall parking permits will be available for purchase in the Parking Portal. A complete list is listed below and is also available on the Parking and Transportation website.

As a reminder, those with payroll deduction permits do not need to purchase a new permit as it will auto-renew in September. If you need to sign up for payroll deduction based on eligibility or to deactivate a permit, more information can be found on the Parking and Transportation website.

Annual UBC Summer Knowledge Share Series

ITS May Updates

New Zoom Security Measures Coming May 2025
On Friday, May 16, 2025, ITS will implement a new security measure requiring all Zoom meetings to use a waiting room, passcode, or authentication for entry. If you currently have a Zoom meeting scheduled on or after the implementation date with no security measure in place, a waiting room will automatically be added to your meeting.

Telecom System Replacement Project Update
The implementation of the police dispatch system and migration to Vonage is complete, as well as the migration of all Fax machines to the new system. The PBX is in the process of being decommissioned, including removing all associated existing hardware and verifying no phone lines remain. Finally, the unification of all Vonage accounts will begin this summer, which will enable 5-digit dialing across the university.

Canvas Training
Beginning in the summer 2025 term, all courses will use Canvas as the university’s official LMS. Instructors who have not yet participated in Canvas training opportunities or have not begun this transition, please visit the Are You Canvas Ready? website for valuable information, resources and checklists.

Blackboard Storage Reminder
Before July 15, users are strongly encouraged to download and save any materials from Blackboard that they may want or need to keep. Once Blackboard access ends, these materials will no longer be available. You will not have access to these courses in Canvas. If you have any questions or need assistance downloading your materials, please visit the LMS website or contact the project team at [email protected].

Follow-up Q&A about Employee Tuition Exemption from Sonya Howell, Director of Payroll

Sonya Howell, director of payroll, attended our April meeting and gave a presentation about the Employee Tuition Exemption benefit program. We received a few questions that she didn’t have time to answer during the meeting, but written responses are provided below.

Q: Can the amount that is taken out of our paychecks for 2-3 pay periods (exceeding the amount of the IRS threshold) be shown on our 1098-T? Because eventually we are paying for that part of the tuition. If it is not shown on 1098-T, how do we claim it on our taxes?

A: The amount that is taken out of your paychecks for 3 pay periods only reflects taxes. The amount that exceeds the IRS limit of $5,250 reflects income. This amount is divided into 3 amounts and added to your paycheck as income for which taxes are calculated on and deducted.

The 1098-T is a statement that colleges and universities issue to select students. It provides the total dollar amount for qualified tuition paid by the student in a single tax year. Therefore, what you are paying above is taxes and not the cost of tuition.

 

Q: Is a graduate certificate from the Antonin Scalia Law School applicable for the tuition exemption? Also, if you live out of state but want to earn a degree, can you qualify for the tuition exemption?

A: Yes, employees can use the tuition exemption on courses for a graduate certificate. You can see all of the eligibility requirements on the tuition eligibility webpage. As long as the individual is a George Mason employee and is eligible per the criteria listed on the tuition eligibility webpage have no bearing on eligibility.

 

Q: Does the excess have to be reported as tuition assistance when filing your taxes or is it just coupled into your salary deduction?

A: This is a question to pose to a tax accountant. However, the excess amount is reported as income on your W2 for which taxes are calculated on.
